ESADA - Receiving participants for prospective studies
The following file is a checklist for researchers to receive participants in the first visit. The fist visit includes a brief interview with the participant, where you hand over the SAS sleep study equipment and Withings watch.
We recommend printing it out and laminating it!
Staff checklist – ESADA prospective studies
Preparation before visit
- Open the excel sheet: “Participants” to find the research ID (ESR number) and the e-mail and password for the participant accounts(Withings and SleepRevolution app accounts)
- Check if the smartwatch has been factory reset (reset it if it has not already been done, see instructions here)
- Prepare sleep equipment ⇒ Configure the SAS recorder, pack bag and label bag with the research ID (see instructions Nox devices and Noxturnal instructions)
- Print out the e-mail and password for the participant accounts (password note)
- Prepare a zip lock bag with the watch, charger and the password note and mark bag with the ESR number.
- Insert the equipment info (Withings watch serial numer/label) into the “Participants” excel sheet.
During the visit
Before you meet participant:
- Check if all equipment is in the sleep equipment case
- Cardboard backing sheet correctly packed
- All cords(EEG cord, body cables)
- Cannula and belts
- Tape roll
- 3x Nox Electrode Bag
- 2x Alcohol pads
- Batteries are in oximeter and recorder
- Instructions for participant - with QR code (to print here)
- Turn on recorder(by pushing the button on the recorder) to check if it says “Recording starts in…”
During the interview with the participant:
- Make sure the name and the ESR number match.
- Give participants the SAS equipment and explain following:
- The tapes in the white bag are only to be used on the body, not the face. Only use the tape roll tape for the face.
- Participants with sensitive skin should not use the tapes in the white bags at all.
- Inform participants that the alcohol pads are only to use for the first night, for the other nights only use water.
- Inform them that audio is recorded.
- Notify the participants of the instructional video accessible via the QR code in the bag. (To print out here)
- Inform the participant that the recording will take place on the next three nights and starts at 10 pm each night and last for 12 hours. If they have any problems, ask them to contact you.
- Sleep Revolution app
- Help the participant to:
- Download the app in app store/play store (use app installation instructions).
- Login with details on password note
- Navigate the participant through the app
- Turn on notifications
- Explain the following to the participant:
- It is to be filled in every morning and evening for 12 weeks, before 2am (they cannot fill it in afterwards)
- It takes around 1-2 minutes each time, morning, and evening
- The evening questionnaire relates to activities during the day that may affect your sleep and should be filled out before 2am
- The morning questionnaire relates to the participants’ night sleep they just finished
- Participants don’t take the cognitive tasks in the app until they are asked to do so
- Please do not throw away the note with the password because you will need it. It is good to ask the participants to take a photo of the password note.
- Health Mate app
- Help the participant to:
- Download the app in app store/play store
- Login with details on password note
- Press dashboard and change the height and weight!!!!!
- Go to Devices and pair the Withings watch to the app
- Explain the following to the participant:
- Participants will wear the smartwatch for 12 weeks and return the watch after 12 weeks
- The watch is waterproof and can be taken to shower but not swimming
- If participants get an allergic reaction, they are asked to take the watch off and let you know
- Participants will receive a charger for the smart watch (show participants how to see battery life) and need to open and close the app every time they charge to ensure a connection to the phone
- Watch need to be charged every 2-3 days
